Privacy Policy
Build It Proof (“Build It Proof”, “we”, “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (“APPs”). It applies to our website, apps, and services (the “Platform”).
By using the Platform you consent to the collection and use of information as described here. This Policy forms part of, and should be read with, our Terms of Use.
1. What information we collect
You provide directly
- Account and profile: name, email, phone, role, company/trading name, ABN, licence number, addresses, logo.
- Billing: payment details (processed by our payment provider — we do not store full card numbers), plan, transaction history.
- Content: documents, project data, records, images, and other material you upload or generate (“Your Content”), which may contain personal information about you, your workers, or third parties.
- Support and communications you send us.
We collect automatically
- Usage and device data: pages/features used, actions, timestamps, IP address, browser/device, and identifiers.
- Cookies and similar technologies (see clause 8).
From third parties
- Payment, authentication, analytics, and integration partners; and publicly available or business-directory sources where relevant to your account.
2. How we use information
We use personal information to:
- provide, operate, secure, and support the Platform;
- create, store, and manage Your Content and outputs at your direction;
- process payments and manage your subscription;
- improve the Platform — analyse usage, develop and test features, and train, fine-tune, and improve our templates and machine-learning systems (see clause 3);
- communicate with you about your account, service updates, security, and (with consent or as permitted) marketing;
- detect, prevent, and address fraud, abuse, security, and legal risks; and
- comply with our legal obligations.
Our lawful bases are performance of our contract with you, your consent (where required), our legitimate business interests, and legal obligations.
3. Using data to improve the Platform (and de-identification)
3.1 We may use Your Content and usage data to analyse performance and to develop, train, and improve our features and models.
3.2 Where we use information to improve models, generate insights, or share analytics with third parties, we use de-identified and/or aggregated information — that is, information that does not identify you, your organisation, or any individual — unless you have consented otherwise or the law permits it. Once de-identified, that data may be retained and used on an ongoing basis.
3.3 We will not sell your personal information.
4. When we disclose information
We may disclose personal information to:
- Service providers (cloud hosting, AI/model providers, payment processing, analytics, email, support) who process it on our behalf under confidentiality obligations;
- Users in your organisation and people you direct us to share documents with;
- Authorities where required by law, regulation, subpoena, or to protect rights, safety, and property; and
- A successor in the event of a merger, acquisition, or sale of assets.
We require our service providers to protect personal information and to use it only for the purposes we specify.
5. Overseas disclosure
Some of our service providers (including cloud and AI providers) may store or process information outside Australia. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
6. Security
We use reasonable technical and organisational measures — including access controls, encryption in transit, and monitoring — to protect personal information. However, the Platform is experimental and provided on a best-efforts, use-at-your-own-risk basis. No method of transmission or storage is completely secure, we cannot guarantee absolute security, and information may be lost, deleted, corrupted, or subject to unauthorised access or disclosure. To the maximum extent permitted by law, we are not liable for such events (see the Terms of Use, clauses 1.4 and 13.3). Keep your own backups of anything important, and do not rely on the Platform as your sole record.
7. Data retention
We keep personal information for as long as needed to provide the Platform and for legitimate business or legal purposes. We may retain de-identified/aggregated data indefinitely. When no longer required, we take reasonable steps to delete or de-identify it.
8. Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember preferences, measure usage, and improve the Platform. You can control cookies through your browser; disabling some may affect functionality. We may use third-party analytics and anti-abuse providers.
9. Your rights and choices
Subject to law, you may:
- access and correct your personal information;
- request deletion of your account and personal information (some data may be retained where required by law or for legitimate purposes, and de-identified data may be kept);
- opt out of marketing at any time via the unsubscribe link or by contacting us; and
- manage most profile and company details directly in your account settings.
To exercise these rights, contact us (clause 12). We will respond within a reasonable time and in accordance with the APPs.
10. Content containing others’ personal information
If Your Content includes personal information about your workers or third parties, you are responsible for having any notices and consents required for us to process it as described here (see also clause 5 of the Terms of Use).
11. Complaints
If you think we have breached the APPs, contact us (clause 12) and we will investigate. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
